Installation
Printers should be added using the standard Add Printer Wizard. e.g.
  • Start->Settings->Printers
  • Add Printer
  • Select "Network Printer" option
  • Next
  • Locate the printer shared from the server running PaperCut
If the network is large, adding printers automatically via a script may be advantageous. The knowledge base includes a section on scripting the addition of printers, detailing various automated methods. The knowledge base includes examples using con2pt, VB Script, Profiles, and the Printui.dll interface.
The recommended upgrade procedure is detailed in the knowledge base under the articles: Yes. Local desktop printers can be tracked by PaperCut. Where possible we recommend network printers (that is printers with an Ethernet card) if available. The knowledge base details how to configure and track local desktop printers by configuring the queue to route via the server. The process is a little involved but works well. Another option is to consider networking the printers. Many hardware companies sell hardware "print hubs". These devices retail for around US$50.00 and allow existing USB or LPT printers to be networked using standard TCP/IP printing.
Operation
Try the Allocate Funds... button under Group Level Functions in the Groups section of the Administrator Console. You may restrict printing on any printer by setting share permissions in the printer properties. Other printers will function and be charged as normal. "The 'Page Counting Machine' (PCM for short) is the component of PaperCut responsible for counting pages and determining document attributes such as paper size. Upgrading the PCM may be required if new hardware is purchased that is not supported by your current version of PaperCut. The concept is similar to Virus Detection DAT updates. To update the PCM:
  1. Download the latest Page Counting Machine update from http://www.papercut.biz/anonftp/pub/general/pcm-update.exe.
  2. Stop the PaperCut service by selecting 'PaperCut Print Charging' in Control Panel->Administrative Tools->Services, then press Stop.
  3. Run the pcm-update.exe file and install in the PaperCut program folder.
Account Tracking (PaperCut ChargeBack only)
PaperCut ChargeBack will use account monitoring if a printer is marked as 'Require Account'. You can mark each individual printer to run in 'silent monitoring mode' by unchecking the 'Require Account' checkbox. This is explained in Chapter 3 on page 9 in the PaperCut ChargeBack User Manual. When users print to that printer they will no longer be prompted for an account.
Troubleshooting
The most common reasons for users not receiving the message relate to restrictions or software on the workstations. PaperCut uses the "net send" or Winpopup to issue messages. The knowledge base has a good article on popup message problems and their resolution. There are two possible causes of this problem:
  • Users are not correctly logging on to your network domain. If the domain server does NOT authorize users, PaperCut has no way of knowing who submitted the print job. With system policies login onto the domain can be made mandatory, eliminating this problem. Alternatively printer permissions can be set on the print server to ensure only valid domain users may print to the printers.
  • Alternatively the client computer may be configured to print directly to the network interface printer. Ensure all network clients are configured as outlined in the PaperCut installation guide. All print jobs must pass through the print server running PaperCut.
This message will occur if PaperCut does not have Read/Write access to the user database. Check to see if the Database sub-folder has been shared with the correct permissions. The folder should be shared with Read-Only access to Everyone and Full Control to the users you wish to grant administration access. Also check the NTFS permissions on the pcuserdb.mdb file in the Database folder. PaperCut currently supports Postscript, PCL, PCLXL and ESC/P2 printer languages. Most printers on the market support one of these languages. Some printers support a proprietary language, but also accept PCL or Postscript. In this case install PCL or Postscript driver.
