Copier Control - Off-the-glass copier control and external devices

PaperCut customers have traditionally managed walk-up (off-the-glass) copier use either using the copier's in-built access control or using 3rd party systems such as stored value cards or coin boxes. Our customers have asked us to implement an on-line integrated solution for some time. In early 2007 we embarked on two projects to address this request:

Hardware - Integration with popular 3rd party copier hardware terminals

Software - Embedded software solutions implemented on high-end multi-function devices (MFDs)

 

Benefits

PaperCut's off-the-glass control solution offers the following benefits over traditional in-built copy control functions:

  • Central Administration - Set and manage your walk-up copying costs using the same rules and interface used to manage your printers
  • Single Identity - Users have the one account for both coping and printing. Accounts are sourced from your existing Active Directory, OpenDirectory, or LDAP environment
  • Real-time Reporting - Off-the-glass copying sessions are logged in PaperCut in real-time. Administrators have access to all the same reporting and management features as they would have for a standard printer.
  • Release Station - The copier terminals can also be used as a PaperCut release station.

Hardware Solutions

The PaperCut Developers have worked with the manufacturers of the VCC copier terminals to bring all the features found in PaperCut to copiers. This includes:

  • Authentication and user identity using your existing network directory accounts.
  • Quotas & charging
  • Account selection (personal and shared accounts)
  • Integrated reporting
The VCC hardware copier terminals are devices that plug into the Copier or MFD via an access port and then interface with PaperCut via your Ethernet network. Terminals are a hardware neutral solution and work with most copier makes and models both young and old.

Software (Embedded) Solutions

MFDs are getting "smarter" with every generation. Most devices now have large LCD screens and touch pads. We have recognized this change and are working with some of the leading manufacturers to run PaperCut software directly on the MFD itself. The embedded solutions are currently in development and will be made available for selected devices soon.

PaperCut can also use the VCA Cash Acceptors providing users with the ability to deposit funds into their PaperCut account in an automated and real-time manner. What are the main benefits of using copier terminal over the copier's in-built options?

The main benfits of the integrated PaperCut solution are:

  • Single set of accounts and account balances
  • Consolidated reporting
  • Centralized management of data, costs and access rules
  • Users access and use the copier using the same account selection process as they do for printers

Where do we purchase the hardware?

The VCC hardware terminals can be purchased directly from Boscop, or one of their regional agents. In many situations your copier supplied/agent will be able to purchase and install the hardware on your behalf. PaperCut Software does not sell the terminals directly. We focus just on the software. This situation is similar to backup solutions - You purchase a tape drive of a specialist hardware vendor and the backup software of a software supplier.

What is the timeframe on the embedded solutions?

This is a little open ended at the moment. We've found that the current generation of embedded environments are still a little immature and do not support all the functions required. It is likely that we'll release support for some devices before others.

Do you intended to support other copier terminals in the future?

The VCC terminals provide a rich set of features at a competitive price and this hardware meets our goal of providing a vendor neutral solution that will work with almost all copiers and MDF brands. Working with hardware is a little different from software in that lead times are longer and a good relationship needs to exist between the software and hardware teams. We may consider other hardware types and devices in the future but our main focus is on the VCC terminal and embedded solutions.

Are the copier options available in languages other than English?

Yes. We've already started translation into a number of languages. We have a few technical hurdles to overcome before we can fully support Asian languages.

Do I need to issue cards to all my users?

No. PaperCut is able to authenticate users using a number of different methods including:

Keypad Entry: The system requests the user to enter their unique ID and optional secret pin.
Card Swipe: The system will accept a number read from a card. The VCC terminals support a number of different card types ranging from magnetic stripe, barcode, and proximity cards.

Organizations with existing issued employee/student cards should consider the card option, while others may find ID numbers the most convenient. The ID or card numbers are stored in the PaperCut database and are entered manually or via a text file import out of another system or list.

Do I need to change the way my copier is set up in PaperCut?

The copier can be thought of as two devices - a network printer and an off-the-glass copier. No changes to the network printing interface and the associated settings in PaperCut are required. Once setup, the off-the-glass device will appear as a new virtual printer inside PaperCut.

How do I set the terminal/copier up in PaperCut?

Please contact the PaperCut Software support. We'll send you a manual appropriate for your PaperCut version and terminal type.

Can I install and setup the hardware myself?

This will depend on the type of copier. The VCC terminal will be supplied with a cable compatible with your copier and in many cases installation is just plug-n-play. Some copiers however require a service technician to install the connection for technical or warranty reasons. The VCC supplier will provide installation instructions.
