While the majority of organizations implementing PaperCut don't take payments (such as those implementing silent monitoring or simple quotas), many organizations may implement payment policies such as:

User Pays After Quota Exceeded
After the user exceeds their allocated quota, they must credit their account with their own funds.

User Pays Up-front
All users start with zero account balance. Access to printers is only granted after users credit their account with their own funds.

PaperCut has worked closely with thousands of organizations to deliver a number of tools to help sites manage their payment process. These tools have evolved over the years and leverage the latest ideas in payment technologies. The aim is to "do as much as possible in software", ensuring systems are easy to deploy and cheap to operate.

Easy Manual Management

Office or counter staff taking manual payments can quickly update accounts in real-time via the simple PaperCut browser based interface. Restricted access to the interface can be granted so you can ensure counter staff can not accidentally change other settings. All transactions are logged and audited and the interface is so simple to use, no staff training is usually required.

Top-Up (Pre-Paid) Cards

Top-up cards are the most popular payment method now used by our customers. The concept, first introduced in PaperCut in 2004, is a voucher or coupon based system. It's similar in concept to the payment methods used by pre-paid cell phone providers or an iTunes Store Gift Card. PaperCut includes the tools to help you create and manage your own payment cards.

Online Payment Gateways

Leveraging the emerging trend of online payments, the PaperCut payment gateway add-on modules allow PaperCut to hook directly into leading payment providers such as PayPal, CyberSource, VeriSign and Authorize.Net. The solution allows users to make immediate payments directly from their desktop or optionally parents to make payments on behalf of their school children via the internet. PaperCut's solution is vendor neutral ensuring you have a choice of payment providers.

Open API

PaperCut has an open and fully documented API. This allows organizations, 3rd parties or system integrators to interface with PaperCut to support other payment methods. Top-Up Cards in Detail

Top-up cards are the most popular payment method and has been specifically designed for the school, college or university. The system is simple, fully contained and very cost effective.The process works as follows:

  1. The network administrator prints a set of customized cards. Each card lists a value, an expiry date, and a unique ID. Cards are often sealed in envelopes or only handled by a trusted parties.
  2. When a user requires additional credit, they purchase a TopUp/PrePaid Card. In a school environment, cards can be sold at the library, cafeteria/canteen, or even in the candy vending machine.
  3. The user logs in to the organization's PaperCut Web interface and enters the number on the card.
  4. The user's account is automatically credited with the value listed on the card. The card then becomes inactive.

PaperCut Software P/L has worked closely with a number of organizations to design the TopUp/PrePaid card system. Over the years we have evaluated a number of payment technologies in conjunction with our education customers. These have included vending machines, smart cards, micro-payment systems, and manual processing. The TopUp/PrePaid Card system has been by far the most successful and cost effective. TopUp/PrePaid Cards are also the defacto standard in other industries such as the mobile phone sector (used to handle pre-paid accounts). Users, particularly students, are familiar with the process.
